Terms

1. The registered guest must be over 18 years of age and must reside each night in the accommodation for the duration of the booking.

2. At any one time, up to two units can be booked in one single transaction, provided the bookings are of the same room type and are over the same dates. The registered guest of the second booking must be in another name and must be provided prior to arrival.

3. Registered guests must provide a Photo proof of identify (POI) at the time of key collection.

4.  Payments
- A 1% transaction fee applies to all credit card payments;
- Full payment is required at the time of making the booking;
- Payments can be made by Credit Cards (online only), Eftpos, Cash and Cheque;
- Payment by American Express and Diners club are not to be accepted.
- Payments by cheque can only be made if the customer's arrival date is more than 14 days from the time of booking and the reservation is being made over the counter at either Fremantle B Shed or Rottnest Island Visitor Centre;
 
5.  Cancellation
- Written notice of cancellation must be provided by the registered guest for all bookings or in person in which case appropriate identification will be required.
- Where the booking dates are changed between 3-14 days prior to arrival standard cancellation fees will apply. Any change to a booking date less then 48 hours prior to arrival will result in full cancellation fee. If booking dates are changed more than 14 nights prior to arrival and the value of the booking is reduced standard cancellation fees will apply.
- During fixed stay periods such as the Summer and Easter holidays, shortening of booking dates is not permitted. Additional terms and conditions apply during certain periods.
- For cancellations made in part or in full more then 14 days after the booking and:
- More than 180 nights prior to arrival: $55 fixed charge or 50% of the cost of one night of the stay (whichever is the lowest) will be retained (cost based on first night of stay).
- 15 – 180 nights prior to arrival: 50% of the cost of one night of the stay will be retained (cost based on first night of stay).
- 3 - 14 nights prior to arrival: the cost of the first night of the stay will be retained; and
- Less than 48 hours prior to 2pm check in time: full amount will be retained.

6.     Security Deposit and Credit Card pre-authorisation
-  Payment of security deposit is applicable for all bookings during the following periods:
-> School leavers' period - $2000
-> Note: Credit card pre-authorisation for the recovery of costs associated with damages is NOT acceptable in place of deposit.
-> University break period in June - $1000 credit card pre-authorisation is required at the time of check in.
-> Security deposits are payable by no later than 14 days before arrival.
 
7.     Minimum Stay Restrictions
- During the low season period a minimum of two (2) nights' stay restriction applies to bookings that fall on a Saturday night, for cabins, bungalows and the chalet.
- Guests that book a cabin, bungalow or chalet on a Saturday night, must also book either Friday night or Sunday night as required.
- During the peak season a minimum two (2) nights' stay restriction applies to bookings that fall on a Saturday night, for dormitories at Kingstown.
- Maximum Stay Restrictions
- During Holiday Peak season, a single booking cannot extend beyond 14 nights maximum stay restrictions.
 
8.  Mobility Impaired
- Specific accommodation is set aside for travellers to Rottnest Island who are mobility impaired.
- Mobility impaired customers requiring wheelchair accessible accommodation must contact the Authority's Central Reservation line on 1800 111 111 (Australian landline calls outside the Perth metropolitan area only) or +61 8 9432 9111, between the hours of 8:30am to 5:00pm Western Standard time, Monday to Friday regarding the application process.
 
9.   Transfer of bookings for accommodation on the Island is permitted with at least 24 hours written notice.

10.   RIA will not release Information relating to a booking to a third party at any time.
 
11.   Occupancy limits
- Tents - Maximum two tents and total of six (6) people are permitted at each site;
- Governor's Circle, Caroline Thomson Cabins and Kingstown dormitories and hostel: Only one person per bed. Additional beds are not available;
- Premium, Premium View, Ocean View and Cottages: Maximum occupancy varies according to room type.
- The RIA reserves the right to adjust occupancy limits during specified periods.
 
12.   Check in and Checkout Times
- No arrivals or departures on public holidays;
- The checkout time is at 9:00am. This is to ensure that the accommodation is cleaned for the arrival of the next guest.
- It is the responsibility of the registered guest to ensure that the room is securely locked and that the keys to the room have been dropped off at the Visitor Centre;
- Check in must be done at the Visitor Centre.
- Check in time is set from 2:00pm to ensure that the room has been cleaned and checked by the quality assurance team.
 
13. Males are not permitted to stay in the female only dormitories.
 
14. Under exceptional circumstances the RIA reserves the right to relocate a booking to a house of similar type.
 
15. Bookings created 18 months in advance and overlap the closed month must book at least 5 nights in the open month to book a maximum of 3 nights in the closed month. Shortening of the stay by reducing the number of nights in the open month is not permitted. Standard cancellation fees apply.
 
16. Any breach by the registered guest or other occupants of the accommodation will result in immediate cancellation of tenancy without refund.
 
17. All visitors are required to respect the rights of others to enjoy the Island at all times, and to adhere to quiet hours as follows: 11pm to 7am in all areas. 9pm to 9am in Kingstown and Governors' Circle.
 
18. It is a condition of tenancy that the occupant provides a valid credit card pre-authorisation to the Authority and agrees to allow any cost for which they are liable under the tenancy, or any statute to be levied against this credit.
           
19. RIA is committed to improving customer service. As part of this commitment, customer satisfaction research is conducted from time to time. Any information provided by guests will be passed on to a market research organisation for the purposes of continuous improvement.
